Sales & Logistics assistant (m/f/d)
Your responsibilities:
* Logistics work
Commercial support of the customers
• Cooperation / coordination with the head office in Japan and other subsidiaries
• Processing of inquiries (delivery dates and prices)
• Preparation of quotations for special deliveries and courier deliveries
• Order processing (receiving and forwarding the order to the head office)
• Creation of order confirmations
• Scheduling (coordinating delivery dates and shipping methods with the customer)
• Entry of incoming goods
• Invoicing and collection of account receivable
• Debit note and credit note creation
• Checking and sending of shipping documents
• Support of customers in questions of delivery processing
• Month-end closing work in the ERP system IFS
• General correspondence in German and English language
General customer service
• Delivery scheduling with the help of Excel spreadsheets, Excel calculation
• Stock control
• Cooperation with our distribution warehouses in Rotterdam and Vienna regarding deliveries, documents and customs clearance
• Cooperation with sales department in handling deliveries not conforming to specifications as well as insurance claims
Data maintenance
• Master data entry customers
• Master data entry articles
* Assistant work to Sales Account Manager
• Cooperation / coordination with the head office in Japan and other subsidiaries
• Communication with customers for various Sales matters
• Create a report document for both internally and externally
• Information and data entry in our internal system for registering various sales activity information (ex. business information, meeting minutes etc..) and making internal request for various outputs to customer correspondence
• Sample delivery arrangement and management (from receiving order to delivery)
Other activities
• Support of the sales department in the statistical registration of the expected sales figures
• General office organization
• Induction of new employees
• System support ERP system IFS (order processing)
• Assistance during company audits
Your profile:
• Completed commercial training
• Ideally you have professional experience in logistics and/or assistant to Sales account manager
• You complement your analytical strength with a high degree of communication, flexibility and determination as well as a distinct customer orientation
• You have very good German and English skills
• Good computer skills are a matter of course for you
